Regulatory Compliance Coordinator

Location: Chicago (Headquarters in Willowbrook)

Type: Full-time

Job Summary:

We are looking for an individual that wants the opportunity to work with dynamic, energetic people in the fast-paced world of fragrance and cosmetics. This role reports directly to the SR QC/QA Manager and is responsible for obtaining, organizing, entering, and coordinating all activities related to regulatory compliance. This will include but is not limited to the registration of products both domestically and internationally.  This individual will also ensure compliance of our products with all respective brand requirements. This entails ensuring required data is gathered, is consistent with the requirements needed, input timely/accurately and in accordance with all established procedures. The role works closely with Product Development, Category Development, Production, and other QA roles as it relates to the registration of all fragrances, cosmetics, and OTC drug products. This role is an intermediate-level position for those with some experience in regulatory

Essential Functions:

  • Will maintain and oversee regulatory compliance with all federal agencies in which products are sold. This includes but is not limited to FDA, Health Canada, European Commission (EU), *NEW* UK Cosmetic Regulations, & NINCAS (Australia)
  • Oversees individual brand requirements and development/implementation of procedures, testing, and product requirements consistent with the brands to ensure compliance with each finish good sku sold by Tru.
  • Coordinates, oversees, and enters all required data into appropriate databases such as WERCS, Smartsheets, and other brand databases to complete the tasks.
  • Works with Product Development, Fragrance houses and other QA associates to gather all required information and documentation required to complete registration of products where appropriate.
  • Tracks all industry regulations updates and ensures products are kept within compliance, including maintaining timely product modification during regulatory changes.
  • Tracks status and progress of regulatory documentation and deliverables required to support regulatory submissions
  • Identifies any missing requirements and recommends solutions to complete the tasks and reports routinely on the progress and status of all efforts.
  • Identifies quality problems and reports same in a timely fashion.
  • Assists in quality investigations to determine root cause and identifies corrective/preventative measurements.
  • Assists in Social Compliance, GMP, and other audits for both Tru and 3rd party vendors

Skills and Capabilities:

  • Excellent communication and written skills.
  • Clear understanding of the various components that make up a finished good.
  • Ability to work independently with minimal supervision.
  • Full understanding of the team concept combined with individual accountability.
  • Ability to read and follow standard operating procedures and other written documentation.

Education and Experience:    

  • College Degree, BS/BA in Business preferred, or equivalent QA experience.
  • 1 to 3 years of regulatory, compliance and general QA experience.
  • Working knowledge of the Microsoft Office suite of products (e.g., Word, Excel, PowerPoint, etc.).

Project Manager

Location: Willowbrook, IL

Type: Full-time

Job Summary:
From concept to delivery, the Project Manager drives, oversees, and executes processes necessary to bring flawless, timely products to life.  This team serves as the “voice” of the timeline, ensuring information is documented and deadlines are being met.  This will entail taking a proactive approach to maintaining and providing accurate and concise information to vendors and internal stakeholders.  In the management of projects, you will serve to connect the various project functions between Product Development, Creative, Vendor Relations, QA/QC, Production and Category Development, as well as acting as a key contact for Tru’s vendor partners.  On an ongoing basis, the Project Manager is also responsible for evaluating internal processes and making objective recommendations for improvement.  The Project Manager will report to the Director of Project Management & Sourcing.

Job Responsibilities:

  • Approves and oversees the integrity of the Project Timeline for new launches..
  • Serves as a primary contact for domestic and international vendors on new initiatives and guides PD on appropriate vendor choices.
  • Manages the quoting and sampling process on new development projects in select areas, including printed materials (e.g., cartons and glass decoration)
  • Acts as a liaison between internal departments to coordinate timely review and approval of key aspects of projects, including quotes, carton specifications, components and final production quantities. Facilitates and clearly communicates handoffs between departments (i.e., Product Development, Creative, Vendor Relations, Production, QA/QC and Category Development) throughout the product development process.
  • Proactively anticipates and problem-solves for project hurdles; understands costing and timing objectives and proactively recommends solutions to achieve desired results, including making vendor and process recommendations.
  • Issues Purchase Orders on new development projects and works with vendors and freight forwarders to confirm and track timely delivery of purchased items.
  • Uses confirmed timelines to approve client Purchase Orders.
  • Evaluates internal processes and makes objective recommendations for improvements and best practices.

Education and Experience:

  • BS/BA in Business, Marketing, or related degree. Fashion/beauty studies are beneficial.
  • 4-6 years Project Management, Marketing or Buying experience ideally in Beauty, Fragrance, Fashion, Consumer Products or Retail.
  • Working knowledge of the Microsoft Office suite of products (e.g., Word, Excel, PowerPoint).
  • Experience working with domestic and overseas vendors.

Compensation:

Base salary $65-$72k, commensurate with experience. There is an opportunity for a performance-based bonus on top of base salary.  Comprehensive benefits package available.

Brand Partnership and New Business Development Manager

Responsibilities:

  • Identify new global business opportunities and partnerships that add value to the company and generate revenue including but not limited to strategic retail partners, tastemakers and influencers, and emerging brands.
  • Assess and collaborate with internal and external teams on appropriate business models.
  • Execute, manage and maintain internal organizational worksheets tracking outreach, areas of opportunity and communication.
  • Effectively and efficiently respond to inquiries from incoming leads, external and/or from leadership.
  • Market and sell our business and capabilities to existing contacts as well as new partners.
  • Proactively set project goals, milestones, and deadlines.
  • Contribute in developing to the vision, goals and long-range plan for the new business development department.
  • Prioritize personal workload (and that of a given project) daily with a clear perspective of opportunity cost pros and cons.
  • Network, promote and represent the company at conferences, trade shows and events.
  • Establish strong, multi-level relationships based on mutual trust and integrity.
  • Navigate a P&L statement, assess risk/reward cost benefits, identify key KPI metrics and understand financial and legal terms and principles.
  • Be at the forefront of societal trends within fashion, beauty, home, technology, food and social media outlets.
  • Support Vice President and Chief Business Officer on all aspects of business.

Desired Skills & Experience: 

  • Bachelor’s degree, preferably in business, sales, marketing, public relations, communications or other related field. MBA preferred.
  • 3-5+ years’ experience in new business development, brand partnerships, brand management, agency client service or sales, ideally in the beauty, fashion or related industry. Experience in account sales, customer marketing, merchandising, talent relationships, technology and across various mediums- content, retail, social and digital is valued.
  • Extensive contact list within beauty, fashion, talent or media.
  • Exceptional organizational, multi-tasking and prioritization skills.
  • Skilled in the art of negotiation.
  • Proficiency in Excel, PowerPoint, Word, etc. and the ability and willingness to learn other internal systems as necessary. Ability to navigate creative programs such as Adobe InDesign are valued.
  • Willingness to travel as needed (during non-covid times), which is estimated at 30%.
  • Preferably bi-lingual in either French, Spanish, German, or Italian.
